Equipment

Keep your store's equipment in one place — model, supplier, purchase price, warranty and maintenance schedule — and track each unit's service history.

Add equipment

  1. Click Add Equipment (top right) to open the dialog.
  2. Enter a Name (required, e.g. Oven); optionally add Model, Supplier and Location.
  3. To record the purchase as well, expand Purchase & bookkeeping and fill in Purchase Date and Purchase Price.
  4. Click Create.

Warranty, next maintenance, supplier URL and note aren't in this dialog — open the equipment's detail page to fill them in afterwards. The list flags equipment past its maintenance date as Overdue (in red) and expired warranties as Out of warranty.

Put the purchase on the books

When you add equipment you can record what it cost at the same time, instead of entering a separate expense.

  1. In the Add Equipment dialog, expand Purchase & bookkeeping and fill in Purchase Date and Purchase Price.
  2. Tick Record as an expense this month.
  3. Choose how to record it:
    • All at once (default): leave Spread over how many months (optional) blank. One「設備採購」(equipment purchase) expense is recorded on the purchase date, and the whole amount counts in that month's operating expenses.
    • Spread over months: enter a number of months (2–120) in Spread over how many months (optional). Starting from the purchase date, one「折舊攤提」(depreciation) expense is recorded on the same day each month until the cost is fully written off.
  4. Click Create.

Each monthly amount is rounded down to a whole currency unit, and the remainder goes into the last month. Example: 13,000 over 7 months is 1,857 for the first six months and 1,858 for the last. Once the price and months are filled in, the monthly amount appears under the field.

The first month is recorded as soon as you create the equipment (with a purchase date in the future, recording starts on that date). After that, due months are recorded automatically early each morning. In a shorter month without that day, the entry lands on the last day of the month.

Spreading the cost requires Manager permission or above. Staff don't see the months field and can only record it all at once.

Without Record as an expense this month ticked, only the equipment is created and nothing is recorded.

Where it shows up afterwards:

  • Equipment detail page: an all-at-once purchase shows "Ledger: Recorded date amount", which links to that day's books. A spread purchase shows "Depreciation: 2 of 7 months recorded · NT$3,714 of NT$13,000 ・Next on date", and "Fully written off" when done.
  • Income statement on Finance Overview:「設備採購」or「折舊攤提」appears under Operating expenses.
  • Transactions and daily close: the entry carries the equipment name, which links back to the equipment.

Current limitations

  • The method can only be chosen when adding the equipment. A purchase already recorded all at once cannot be switched to monthly depreciation later, or the other way round. To change it, delete the equipment and add it again, and delete the original expense from the books yourself.
  • Depreciation cannot be stopped while keeping the equipment. To stop early you have to delete the equipment (its maintenance logs go with it). Months not yet due are no longer recorded; entries already recorded stay on the books.
  • The schedule is fixed at creation. Changing the purchase price or purchase date on the detail page later does not change the monthly amount, the total or the dates.
  • On a day that has been closed, that month's entry is recorded on the day the system actually posts it, never on the closed date. If that day is closed as well, this month and the ones after it wait and are recorded on the next day that is open.
  • If you delete one month's depreciation entry by hand, the system does not add it back, so that month's amount is never expensed.

View & edit equipment

  1. Click any row in the list to open its detail page.
  2. Click Edit to change Name, Model, Supplier, Supplier URL, Purchase Date, Purchase Price, Warranty Until, Next Maintenance, Location and Note, then click Save.

For a purchase in a non-store currency, the foreign amount, currency and FX rate must all be filled in together (all-or-nothing) or Save stays disabled. Changing the purchase price or purchase date here does not change the expense already on the books, and does not affect a depreciation schedule. Deleting equipment also deletes all its maintenance logs. Manager permission required. Expenses recorded for it stay on the books; they are just no longer linked to this equipment.

Maintenance / service logs

  1. In the Maintenance / Service Logs section of the detail page, click Add Log.
  2. Pick a Date and Type (maintenance, repair, inspection, part replacement, other), then enter a Cost and a Description (required).
  3. Optionally add a Supplier, a Next maintenance date (optional) and a Note, then click Save.

If a maintenance cadence was set before, the next maintenance date is pre-filled from that interval — you can change it. Deleting a single maintenance log: Manager permission required.
